Privacy Notice

This Data Privacy Notice describes how the European State Forest Association (EUSTAFOR), acting as a data controller, collects and uses personal data within the framework of the EU General Data Protection Regulation (GDPR).

Who We Are

EUSTAFOR is an international non-profit association which aims to support and strengthen European state forest management organizations by promoting the exchange of know-how and field experiences between members. It also provides practical and comprehensive feedback to the EU’s decisional bodies and stakeholders of forestry and the forest-based sector in order to contribute to legal and strategic decisions concerning the sustainable development of Europe’s forests and forest-based sector. We currently have over 30 members, representing one third of the European Union’s forest area.

Data Collected, Use and Basis for Data Processing

We collect and process data on the basis of legitimate interests in order to carry out our advocacy activities. We seek to provide information to individuals who are professionally involved in forestry and the forest-based sector at European level and who could, thereby, reasonably be expected to gain added value from the information we provide on topics which are of fundamental public importance.

We collect data directly from data subjects, from third parties (e.g. directories, websites), from participant lists to our events or social media. The data we collect can include an individual’s full name, work email address, work title or department, company name, address, phone number, IP address, company website and photo.

Entering your personal data on a registration form for a EUSTAFOR event or activity implies your consent for this application to use the data you supply in the context of the event or activity.

We take pictures at our events and activities. By registering, participants agree that their picture can be used and may be published, for example, on our website.

Data Treatment and Sharing

Our lists of contacts are not based on behavioral characteristics, nor are they established on the basis of economic or financial interest. We use data analytics but we do not process or combine personal data with other types of data. We use cloud services (including Dropbox and MO365).

We do not trade personal data with other organizations for commercial gain. Some of our data is shared with partner organizations and between our member organizations. In general, this is done in order to carry out specific activities, such as sending invitations to and providing information about events and (internal or joint) activities organized by (or for) us.

We regularly review and, where necessary, update our privacy information. If we plan to use personal data for a new purpose, we update our privacy information and communicate the changes to individuals before starting any new processing. 

Data Storage Period

Where no contracts have been signed and no legal restrictions are placed, the information will be conserved until EUSTAFOR becomes aware that the data subject no longer occupies a post relevant to EUSTAFOR’s stated mission or the data subject objects to the use of his/her personal data. 

Rights of the Data Subject

The following rights concerning personal data held by EUSTAFOR can be exercised by contacting our Office Manager, Kathleen Begemann (office@eustafor.eu).

  1. Individuals have the right to obtain access to their personal data.
  2. Individuals have the right to ask for incorrect, inaccurate or incomplete personal data to be corrected.
  3. Individuals have the right to request that personal data be erased.

Website Access

General Access
EUSTAFOR’s Privacy Notice is valid for all pages hosted on EUSTAFOR’s website.

The data that is provided explicitly or in an automated manner will be recorded and processed in EUSTAFOR’s data file. EUSTAFOR is the processing controller with respect to the personal data that are gathered via the website and controls any processes that are carried out by other parties on its behalf.

All information, in the form of text, files and images or any other formats, is provided by EUSTAFOR for information purposes only.

All interested persons may access the public information posted on our website. However, EUSTAFOR retains the right, at any moment of its choosing and without prior notification, to change the regulations and conditions corresponding to access to the website, to limit access or refuse access to the entire website or parts of it, without this giving rise to any form of compensation.

EUSTAFOR reserves the right to change or refuse access to the private section of its website without this giving rise to any form of compensation.

Intranet Access (members only)
Employees of EUSTAFOR members must provide specific information in order to be allowed to access private sections of the website or to subscribe to the associations internal newsletter, the eustafor.express. By providing this information, the user expressly consents to the use of the information in accordance with this Privacy Notice.

On its website pages and in the information it distributes EUSTAFOR may, for ease of use, provide links to websites and pages hosted by third parties. However, EUSTAFOR does not endorse, approve or take any responsibility for third party websites or social media channels and cannot be held responsible for any data processed by third parties as their privacy policies may differ.

Social Media

When interacting with our social media channels (TwitterLinkedIn,…), consent and personal data use are covered by the terms and conditions and privacy policies of each of these social media platforms.
